Email Forwarders for Shared Hosting (webValue – webUltimate)

Email forwarding is a provided feature for all hosting accounts, which allows our users to forward received email on a certain email address to another specified email address. Email forwarders are commonly known as aliases, whereby emails can be easily forwarded to all colleagues in the same department, or to your colleague taking over your job responsibilities when you are on your annual leave.

Here are some common use case for Email Forwarders:

  • Internal distribution list – e.g. staff@domain.com to forward email to all staff in organisation
  • Departmental distribution list – e.g. sales@domain.com to be forwarded to all sales staff
  • Workflow followup for staff on leave – e.g. john@domain.com’s emails to be forward to doe@domain.com for the period of absence)

For clients that are on the web hosting range of plans, you can only set email forwarders to domain names that are hosted on the same cPanel account.

  • You will ONLY be able to add forwarders to email addresses whose domains are listed in the same cPanel account
  • You will not be able to add forwarders to “free” service mail providers address (e.g. gmail, hotmail, yahoo)
  • You will not be able to add forwarders to other email addresses whose domains are not listed in their cPanel
  • You will not be able to add forwarders to email addresses created at onmicrosoft.com (Office365)

EXAMPLE A

Client A has apple.com, and a few other addon domains.

Main Domain

  • apple.com

Addon Domains

  • orange.com
  • pineapple.com

Customers will be able to add forwarders to the email addresses with the above domains.

If customers want to add sales@watermelon.com as a forwarded email address, you WILL NOT be able to add the forwarder.


EXAMPLE B

Client A has apple.com, and a few other addon domains.

Main Domain

  • apple.com

Addon Domains

  • orange.com
  • pineapple.com

If you want to add apple@gmail.com as a forwarded email address, you WILL NOT be able to add the forwarder.


EXAMPLE C

Client A has apple.com, and a few other addon domains.

Main Domain

  • apple.com

Addon Domains

  • orange.com
  • pineapple.com

If you want to add apple@orange.com as a forwarded email address, you WILL be able to add the forwarder.


 


 

Enhanced Security for Forwarding Email to External Email Addresses

Email forwarding to external email addresses is not permitted through our cPanel control panel as a security feature for Vodien shared hosting accounts. It eliminates the risk of emails being forwarded to unauthorised personnel at other email addresses, and also better protect the shared mail server IP address reputation when certain emails are tagged as spam.

This allows us to better protect the mail server IP reputation, due to large volume of emails sent out every day via our client accounts; whether they are legitimate or spam emails. In the event that the email IP of the server is blacklisted, other users on the same shared server are affected as well. The auto-forwarding of spam emails to free email addresses (e.g. gmail, hotmail, yahoo) is one of the common reason for email IP blacklisting.

 

 

Steps to Forwarding to Free E-mail Providers

Forwarding to free e-mail providers is not permitted as the free email providers will reject the emails forwarded to the account when they detect too many emails being forwarded to their mail servers. Therefore, email forwarders are blocked in the cPanel.

We would recommend doing a fetching of email from Gmail or other free email providers via POP3/IMAP. These are some of the domain names that will not be available:

  • aol.com
  • gmail.com
  • googlemail.com
  • hotmail.com
  • msn.com
  • outlook.com
  • qq.com
  • redmail.com
  • yahoo.com
  • ymail.com
  • rocketmail.com

 

 

Here are the steps you can use to use email fetch using Gmail.
  1. Log into your Gmail account.
  2. Click the gear icon in the upper right corner of the page and select Settings.
  3. Click the Accounts tab and locate the Check mail from other accounts (using POP3) section.
  4. Click Add a POP3 mail account you own.
  5. Enter the full email address of the account from which you would like mail fetched.
  6. Click Next Step.
  7. In the Password field, enter the password for the email address you provided.
  8. Select Port 110 for a POP3 connection. For a secure email connection, use Port 995.
  9. Click the checkboxes next to the options that best suit your needs:
    • Leave a copy of retrieved messages on the server
    • Always use a secure connection (SSL) when retrieving mail
    • Label incoming messages
    • Archive incoming messages
  10. Click Add Account.

Here are the steps you can use to use email fetch using Hotmail.
  1. Log in  to your Hotmail account
  2. Click the gear icon in the upper right corner of the page and select Connected Accounts.
  3. Under Connect Accounts, click Other Email Accounts.
  4. Enter the following:
    – Display Name
    – Email Address
    – Password
  5. Choose the folder where the imported emails will be stored.
  6. Tick the checkbox for “Manually configure account settings (POP or IMAP)”.
  7. Click OK.
  8. Select the type either IMAP/SMTP or POP/SMTP and click OK.
  9. Enter the account information and server information for both incoming and outgoing servers.
  10. Click OK

 

 

Vodien can help you to manually forward to external email addresses

If you have another email hosting or web hosting service with Vodien, you can have your emails from your current account forwarded to it. If you require our assistance on this, please send it an email to our support team and we will be able to help you add it in.

Otherwise, if you still like to forward your email addresses to external email addresses, you can consider purchasing a dedicated IP which will grant you with your unique IP address. This means that the reputation of your own IP will solely depend on the type of emails you send out, whether they are legitimate or spam emails. Dedicated IP add-on costs $120/year SGD.

Upon request from our clients with the Dedicated IP add-ons, we can request from our engineers to manually add forwarders from your account to external domains.

By adding an external domain email address forwarder, these forwarded emails may or may not affect your email deliverability. If there are high counts of spam emails being forwarded to the external email address, it may affect the reputation of your Dedicated IP address, resulting in possible failures in email deliverability. We hope you understand that this is a potential cause for concern and is the main reason why we implemented it on our shared servers.
